Quaderno takes care of all your invoicing for Square payments, letting you know when taxes change, creating reports, and sending tax compliant invoices.
We'll even send you an automatic notification when you reach a sales tax registration threshold so you know when to register in another country or US state.
When you process a successful charge on Square, Quaderno will create a sales receipt and can send it automatically to your customer, without any manual intervention.

First steps

To connect your Square account to Quaderno, just follow these steps:
  1. In your Quaderno account, go to the integrations page and select Square.
  1. You will be taken to a Square-hosted page where you can login or create a Square account.
  1. Click Allow to connect Square to Quaderno.
  1. Select the store locations you would like to connect to Quaderno. Quaderno will only import transactions for the selected locations.
If you have a trial Quaderno account, your Square transactions from the last 30 days will automatically be imported to Quaderno. Don’t worry, we won’t send these invoices out without your permission, but if you’d like to, you can select an invoice and email it manually.
Each time you receive a new payment via Square, the corresponding invoice will be automatically generated in Quaderno.

Setting up tax rates in Square

Square will apply tax at checkout based on your tax settings in Square. You can create and manage tax rates in Square following this guide. When Quaderno imports the sale or refund, we'll apply the same tax rate used by Square.
To ensure taxes are reflected correctly in your reports:
  1. Set up your tax rates in Square.
  1. On the jurisdictions page of your Quaderno account, add all jurisdictions where you have store locations.

FAQs

Does Quaderno calculate tax directly in the Square checkout?
As Square offers their own tax rate settings, Quaderno does not calculate tax for Square transactions. Please review your tax settings in Square to ensure you are charging the correct tax rates.
When does Quaderno import my Square sales?
Quaderno imports your Square transactions via polling. We pull transactions at 03:30 GMT every day.
How does Quaderno distinguish goods from services?
Please select your default product type on the preferences page to indicate if your Square sales are goods or services. If you sell multiple product types, check out this article for more information on how to track your sales.
