Connecting Verifactu with Quaderno
This article concerns only Spanish businesses.
The Veri*Factu (or Verifactu) system, promoted by the Spanish State Tax Administration Agency (AEAT), is a key initiative to combat tax fraud and promote digitalization in business accounting. This system aims to modernize how businesses and self-employed individuals issue and manage their invoices.
All companies and self-employed residents in Spain who use invoicing software like Quaderno will be obligated to issue their invoices through this system. The implementation deadlines are as follows:
- Companies: Starting January 1, 2026.
- Self-Employed (Autónomos): Starting July 1, 2026.
Prerequisites
To issue Verifactu invoices with Quaderno, you must meet the following requirements:
- Enter Your Business NIF/CIF: Ensure that your business's Fiscal Identification Number (NIF) or Tax Identification Code (CIF) is correctly registered on the Jurisdictions page in Quaderno.
- Upload Your Business Digital Certificate: You must upload your valid digital certificate to Quaderno. This certificate is essential to ensure the authentication and security of the invoices sent to the AEAT.
- Assign Unique Document Prefixes: It is necessary to configure unique prefixes for your invoices and credit notes on the Preferences page in Quaderno. This helps with the correct identification and organization of documents issued under the Verifactu system.
How to Activate Verifactu
Important: Once you have activated Verifactu, you cannot deactivate it. Please contact our support team if you have any questions.
If you meet the requirements above, just follow these steps to activate Verifactu in your Quaderno account:
- Go to the Integrations page and select the
Add integrationoption. - Choose the Verifactu option.
- Accept the authorization to send data to the AEAT on behalf of your business.
That’s it! Once the integration is connected, Quaderno will automatically send all your invoices to the AEAT in real-time.
To comply with tax regulations, all invoices sent to the administration via Verifactu will display a QR code that allows customers to verify them on the AEAT website.
Troubleshooting Invoice Submissions to the AEAT
Quaderno provides a clear view of the status of your submissions to the administration on the Deliveries page. If an invoice is rejected by the AEAT, you can see the detailed response on that page, which will help you identify the problem. This allows you to take the necessary measures to resolve it quickly.
The most frequent submission problem is the lack of complete fiscal information (such as the customer's address or NIF) on the invoice. To solve this, Quaderno performs a preliminary data check. If required data is missing, the document will be placed in an Inbox where you can add the necessary information before it is sent to the Tax Agency (Hacienda).
